Executive Secretary

Location : Sheung Wan
Roles & responsibilities:
- Provide executive and secretarial support to the Head of Finance and Supplies Division including managing meetings/visits/events’ schedule and official trips;
- perform general secretarial duties, such as handling enquiries, compilation of correspondence, minutes, reports and meeting documents, maintenance and filing of documentary records, managing receipt and despatching of documents;
- coordinate with the Members of the Board of Directors and senior staff on the arrangement of meetings/activities; and
- undertake ad hoc research including information collection, compilation and analysis for specific issues as assigned, and provide a summary/proposal to facilitate the management’s decision making.
The ideal candidate should have/be:
- A recognized degree or equivalent;
- Grade E or above in both English Language (Syllabus B) and Chinese Language in the HKCEE or equivalent;
- proficiency in English and Chinese (including Putonghua);
- good communication and interpersonal skills; and
- preferably with executive and/or secretarial experience in a large-scale organization.

Compensation & employment terms:
The successful candidate will initially be offered a 3-year contract with a remuneration package which will be commensurate with his/her background and experience. The continuation of employment and employment terms thereafter will be subject to mutual agreement. Apart from contributions to the MPF Scheme, other benefits include paid annual leave, medical services, a dental scheme and training sponsorships. The incumbent will normally work under a 5-day week schedule subject to operational needs and exigencies of the service.
